AI Business Brain

AI that knows your business. And keeps client files where they belong.

Generic answers come from AI that doesn't know you. An AI Business Brain gives Claude or Copilot your know-how, documents, processes and writing style, with permissions set up first, so each person's AI sees only what they're allowed to.

What changes

From re-explaining your business, to AI that already knows it.

Before

  • You re-explain your business in every chat
  • Drafts sound generic, so you rewrite them
  • Know-how lives in one or two people's heads
  • Staff paste client details into personal accounts

After

  • Drafts in your voice that reference the right client and process
  • New staff get answers from your own playbooks and templates
  • Your methods improve each time they're used
  • One controlled place for AI, with permissions you can check

Three ways to build it

Start personal. Grow it into the firm's brain.

  1. Self-run

    Personal Business Brain

For owners and sole practitioners. A guided setup interviews you and builds your brain inside your own Claude account, with help on hand if you get stuck.

  2. Built with you

    Inside the AI Kickstart Program

We build your brain together in the first week, then put it to work on your real tasks for the rest of the month.

  3. Done for you

    Team Business Brain

For firms. Permissions and governance first, then a shared brain in layers, in Claude or Microsoft 365 Copilot. Optional ongoing care keeps it current.

How the team brain is built

Permissions first. Then the brain.

AI sees whatever each person can open. If everyone in the firm can open everything, so can every Claude and every Copilot. So we fix that before anything is connected.

  1. Readiness and permissions review

Who can open what today, and what needs to change.

  2. Design the layers

Firm, team, role, personal and restricted, each matched to who should see it.

  3. Build and connect

Your documents, email, calendar and practice systems, each set to ask before it acts.

  4. Train, then care

Each person onboarded on their own brain. Optional care keeps it up to date.

The five layers

  • Firmmethods, templates, brand voice: everyone
  • Teamhow each team works: that team
  • Rolechecklists for a role: people in it
  • Personalyour style and notes: you
  • Restrictedclient files, HR, partners only: named people

Access is enforced by your Microsoft 365 permissions, not by instructions to the AI.

For professional firms

Your know-how compounds. Client files never mix.

Practice knowledge

Methods, playbooks, templates and lessons learned. It grows and improves with every engagement, and makes your firm easier to run, and to sell.

Client context

Each client's files stay separate, are cited back to the source, and can be removed cleanly when the engagement ends. Nothing moves from client files into firm know-how without a person approving it.

Designed around the duties you already have: client confidentiality, Tax Practitioners Board guidance, legal privilege and supervision, and licensee requirements. Is AI safe for client work? →

Questions we're asked

Will our client data be used to train the AI?

That depends on the provider and plan, so we check the current terms for your tools and choose accounts and settings that exclude training wherever the provider allows. We show you where the data goes and what's kept.

Claude or Copilot?

Either works. We'll give you the honest trade-offs for your firm. The permissions work is the same.

Who can see what?

Each person's AI sees only what that person can already open. We tighten that before we connect anything.

What happens when someone leaves?

Their access goes when their account does. The firm's know-how stays with the firm.

What does it cost?

It depends on the size of the firm and the systems involved. Ask on the discovery call and you'll get a straight answer.
